1. About This Policy

Korda Pro is an AI-powered job management and invoicing platform for Australian trades businesses, delivered by Korda Pro Pty Ltd, ABN 14 699 519 134 ("Korda Pro", "we", "us", "our").

This Privacy Policy explains how we collect, use, store, and share personal information when you use Korda Pro, and how we protect the personal information of your customers that passes through the platform.

We are committed to complying with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using Korda Pro, you agree to the practices described in this policy.

2. Information We Collect

2.1 About You (the Account Holder)

When you register for and use Korda Pro, we collect:

  • Business name, ABN, and trading name.
  • Contact details: name, email address, phone number, business address.
  • Payment and billing information (processed via secure third-party providers).
  • Account credentials and usage data (logs, features used, and timing).

2.2 About Your Customers (Client Data)

As a service provider, we process information about your customers on your behalf. This includes:

  • Customer names and contact details.
  • Job addresses and site descriptions.
  • Invoicing data, quote details, and payment status.
  • Communication history sent via the Korda Pro platform.

Your Responsibility: You represent and warrant that you have obtained all necessary consents and provided all required notices to your customers to allow us to collect and process their information in accordance with this policy.

3. How We Use Information

We use the collected information to:

  • Provide, maintain, and improve the Korda Pro platform.
  • Automate invoicing, quotes, customer reminders and job-related tasks.
  • Process payments and manage your subscription.
  • Provide customer support and troubleshoot technical issues.
  • Comply with legal obligations and protect our business interests.

4. Disclosure of Information

We do not sell your personal information. We may disclose information to:

  • Third-party Service Providers: including cloud hosting providers (DigitalOcean), accounting integration (Xero), productivity and email tools (Google Workspace), payment processors (Stripe), and communication tools (WhatsApp/Meta).
  • AI and Messaging Partners: Anthropic, Inc. (USA), the AI platform that powers Korda Pro's intelligent assistant, to which message content is transmitted for processing in accordance with its privacy policy and enterprise data-handling commitments; and Meta Platforms, Inc. (USA), the provider of the WhatsApp Business API through which platform messages are routed, subject to Meta's data handling terms.
  • Professional Advisers: such as lawyers, accountants, and auditors.
  • Legal Authorities: if required by law or to protect the safety and rights of Korda Pro or our users.

Some of these providers, including Anthropic, Meta, and Google, are located overseas (primarily the United States). We take reasonable steps to ensure these providers handle personal information consistently with the Australian Privacy Principles under our agreements with them, as set out further in section 5.2.

5. Storage, Security, and Data Residency

5.1 Data Residency

Our primary cloud servers are provided by DigitalOcean and are physically located in Sydney, Australia. We prioritise keeping your data onshore to ensure it remains subject to Australian privacy protections.

5.2 International Disclosure

While our servers are located in Australia, we engage contracted service providers, including personnel based in Europe, to support platform development, maintenance, and technical support. As part of this arrangement, your personal information may be disclosed to these overseas contractors for the purpose of providing these services on our behalf.

We similarly disclose limited personal information to our AI, messaging, and productivity partners, Anthropic, Meta, and Google, as described in section 4.

Before making such disclosures, we take reasonable steps to ensure that any overseas recipient does not breach the Australian Privacy Principles in relation to your personal information. This includes requiring our contracted providers to handle personal information under contractual obligations consistent with the Australian Privacy Principles and to maintain appropriate security safeguards. Where required by law, we remain accountable for personal information handled by these overseas recipients as if the acts or practices occurred within Australia.

5.3 Security Measures

We implement industry-standard security measures, including encryption and access controls. However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security.

5.4 Google API Limited Use Disclosure

In addition to the general principles outlined above, we are required to make specific disclosures regarding data accessed through third-party APIs. The following section addresses our commitment to protecting data accessed via Google APIs:

Korda Pro's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use raw or derived user data received from Google Workspace APIs to create, train, or improve machine learning or artificial intelligence models.

6. Data Retention

We retain your information for as long as your account is active. If you cancel your account, we will de-identify or delete your personal information within 60 days, unless we are required to retain it for legal, tax, or compliance purposes.

7. Your Rights and Access

You have the right to access, update, or correct the personal information we hold about you. You may do this through your account settings or by contacting us at the details below.

If you have a concern about how we have handled your personal information, you may also lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
